Why do some Microsoft calendars sync differently?

Which calendars work best?

Your personal Outlook or 365 calendar works best in Year Glance.

It updates reliably and changes usually appear quickly and accurately.

Which calendars can have issues?
Some Microsoft calendars can be less reliable, including:
  • Shared calendars
  • Meeting room or resource calendars
  • Teams channel calendars
  • Microsoft 365 group calendars

These calendars are managed by Microsoft and don’t always send full update information when changes happen.

What might I notice?
Occasionally, you may see:
  • Updates appearing later than expected
  • Changes missing temporarily
  • A calendar needing a refresh to stay accurate

Does this mean something is broken?
No. This is normal behaviour within Microsoft’s calendar system.

Many apps that connect to Microsoft calendars experience the same limitations.

Technical example

How to force sync the calendars if it doesn't sync after a few minutes

  • In Year Glance, select the Manual refresh button.
  • In Outlook browser, refresh the browser.
  • In Outlook app, try navigating to a different month and then back again.
If that doesn't work, close the app and open it again.

How does Teams fit into this?
Teams doesn’t have its own calendar.
  • Most Teams meetings live in the organiser’s personal calendar and sync well
  • Channel meetings live in group calendars, which can be less reliable

What does Year Glance do about this?
  • Prioritise syncing personal calendars
  • Regularly refresh shared and group calendars
  • Automatically fix missing updates when we detect them

Personal Outlook calendars sync best.

Shared, Teams, and room calendars may occasionally need a refresh due to Microsoft limitations.
