What are profiles?

Profiles let you save multiple calendar configurations inside your single Year Glance account. Each profile is completely independent; its own selected calendars, settings, customisation, theme, view type, time range, and a unique share or embed link.

You can switch between profiles instantly without losing any of your other setups.

Why profiles exist
Most people who use Year Glance start with one calendar view for themselves. But as teams and organisations start using Year Glance, a common need emerges: different people need to see different things.

Your exec team doesn't need to see the same calendars as your all-staff view. Your board doesn't need the same layout as your operations team. Until now, the only way to handle this was to manually reconfigure Year Glance each time; changing which calendars are selected, adjusting the settings, switching the view type. It was time-consuming and easy to get wrong.

Profiles solve that. Set it up once, save it, and switch between them in seconds.

What a profile saves
Each profile captures your complete Year Glance setup at the time you save it:
  • Selected calendars - which calendars are turned on or off
  • Settings - any configuration options you've applied
  • Customisation and theme - your colour choices, branding and display preferences
  • View type - year horizontal, year vertical, monthly, weekly, daily or agenda
  • Time range - the date window your view is set to display
  • A unique share/embed link - each profile generates its own link, so you can share or embed different views for different audiences

What a profile is not
Profiles are not separate accounts. You do not get a different login for each profile. There is no additional email address, no separate subscription and no separate billing per profile.

Everything lives under your one Year Glance account, with your one login. Think of it like having multiple saved presets on the same device -- same account, different configurations ready to go.

Who profiles are for
Profiles are particularly useful for:

Organisations with multiple audiences
Set up one profile for your executive team showing leadership calendars, another for all-staff showing company-wide events, and a third for your board with a cleaner, more focused view.

Teams managing multiple locations or departments
Create a profile per department, each showing only the calendars relevant to that group.

Consultants or agencies managing multiple clients
Keep a separate Year Glance profile for each client without logging in and out or rebuilding your setup each time.

Anyone who needs different views for different purposes
For example, a personal profile showing your own calendars alongside a shared profile you've embedded on your team's intranet.

How to create and switch profiles

  1. Log in to your Year Glance account
  2. Click the profile switcher at the top of the left sidebar
  3. Select + New profile and give it a name (e.g. "Board", "All staff", "Exec team")
  4. Configure your calendars, settings, theme and view type as needed
  5. Save the profile -- your share/embed link is generated automatically
  6. To switch profiles, click the profile switcher and select the one you want

Your first profile is created automatically from your existing setup when the feature is first activated.

Profiles and sharing
Every profile has its own unique share link and embed code. This means you can:
  • Share a different Year Glance view with each audience
  • Embed separate calendar views on different pages of your intranet or website
  • Update a profile's configuration at any time, the share link stays the same

Pricing
Profiles are a paid feature available on Premium plans. Your first profile is included with your plan at no extra cost.

Additional profiles are available as an add-on. If you are planning to use a larger number of profiles, contact our support team via chat before upgrading. Volume discounts are available on a case-by-case basis.
